Provide administrative, clerical, guest relations and technical support for the academy as well as administrative support for the Human Resources Department.
Provide reception support for the academy to both internal and external visitors/callers.
Answer and screen all incoming telephone calls for residents and staff.
Maintain accurate list of all staff extensions, cellular phone and pager numbers.
Greet all visitors to the academy and contact appropriate staff to handle visitor’s concerns/needs.
Provide administrative support to front office and management staff as requested.
Process outgoing mail, maintain postage meter and deliver interoffice mail.
Provide administrative support for the Executive Director and Clinical Directors as requested.
Coordinate and schedule travel arrangements and external meetings for administrative staff.
Provide administrative support to the HR department.
Assist with maintenance of affirmative action logs.
Assist with new hire documentation and reference checks.
Maintain employee files while insuring confidentiality of all information contained in those files.
Record and maintain records for administrative staff meetings.
Take minutes at assigned meetings
Type minutes, print copies, distribute to appropriate staff and file minutes in master file.
Attend and participate in staff meetings and training sessions as required by Nexus; understand and support the Nexus philosophies and treatment modalities.
Ensure the confidentiality of residents’ and employees’ information/issues in compliance with all licensing regulations, Nexus’ policies, COA and HIPAA guidelines.
